Privacy notice

This notice explains what happens to information sent through the enquiry form on this website, and to the information held in the client portal by the people who use it.

What we collect

Enquiries. The details you enter in the form: your name, your company or property, your email address, your phone number if you give one, and your message.

Portal accounts. Your name, email address, phone number, the property and unit you are linked to, and whether you own or occupy it. Your password is stored only as a one-way hash — nobody, including us, can read it.

Requests. The subject and description of anything you raise, the messages exchanged about it, the status changes and who made them, the photographs and documents you attach, and the internal target time we set ourselves. A member of the property team cannot see a request raised for a different unit.

Why we use it

To answer your enquiry, to arrange a consultation, to run the property you live in or own — and to keep a record of what was reported and what was done about it. We do not sell your details, do not use them for unrelated marketing, and do not profile you.

How long we keep it

Enquiry details are kept only as long as needed to deal with your enquiry and any resulting contract or record-keeping obligation, after which they are deleted.

Portal records are kept while your account exists, so that the history of a building is available to whoever takes it over. Photographs attached to a request are deleted with it. Records of who changed what — the activity log — are kept for the same period because they are what makes the history trustworthy.

Who can see it

Enquiries are received by the Capital View team that handles new business. Portal information is visible to Capital View staff, and to the managers of your property. Other residents cannot see your requests: access is decided per property and per unit, not by who is signed in.

Where a third-party service is used to deliver email or to host the site, that provider processes the information on our behalf under a contract that limits what they may do with it.

Your choices

You can ask us for a copy of the information we hold about you, ask us to correct it, or ask us to delete it. You can also turn notification emails off yourself in your account settings. Email [email protected] and we will respond.

Cookies and analytics

The public pages of this website set no cookies and no analytics or advertising trackers of any kind.

Signing in to the portal sets one essential cookie (cv_session), which is how you stay signed in as you move between pages. It is used for nothing else, it is sent only to this site, and it disappears when you sign out or after a period of inactivity. Your browser may also store a small anti-forgery token as part of that session to protect the forms you submit; it is not an identifier and is not readable by any other site. Images and fonts are served from this site itself, so no third party sees you load a page.

There is no cookie banner because there are no optional cookies to consent to. If that ever changes, this notice and a cookie notice will be updated before anything is switched on.
